Tenure: This is a fixed term post covering maternity leave from 8th March 2021 to 25th March 2022.

Registry Services is an innovative, efficient, integrated professional service that offers academic and student administration support and direction right across the lifecycle of a student.
Based on the Llandaff campus, we cover the areas of Assessments and Awards, Student Appeals, Examination Boards, Enrolment, Statutory Returns and the Student System. Our people are the most important resource and, as a department, our development as professionals is vitally important for us to continue to deliver 1st class services. We work very closely across the other registry services and across all Academic Schools and support the development of the Universities values and behaviours within our teams.
This current vacancy, is based within the Assessments and Awards team and provides support for all graduation ceremonies and formal examinations for the entire student body.
You will deliver and promote Academic Registry, predominantly, within the Assessment and Awards unit at Cardiff Metropolitan University by providing quality and customer-focused services. You will also Support the Assessment & Award processes in compliance with regulations and procedures, Support the teamwork of the Assessment & Awards Unit in particular and support other Academic Registry requirements from time to time.

What you’ll do – key duties
·To write, develop and coordinate the production of formal examination timetables for the University.
· To lead and manage the work schedules of invigilators during examinations and graduation. To actively engage in the recruitment of new invigilator staff via processing of applications, interviewing and selection.
·To take a lead role in delivering the required development, training and delegating responsibility to Invigilators in relation to regulations and procedures; for example ensuring competency of administering alleged unfair practice during the examinations.
·To actively provide advice and guidance on regulations and procedures relating to the conduct of examinations and graduation. To actively review University regulations and procedures and recommend enhancements.
·To liaise and network with Cardiff Met students, staff and external bodies including graduation stakeholders. To continue to build good working relationships for the effective provision of Registry Services.
·To produce and issue award certificates to students.This will include liaison with Registry Services staff, Academic and Professional Services staff.Be responsible for the quality control of the content on the certificates and transcripts, and distribute in line with the University’s Regulations.
·To deal with complex and specialist enquires, correspondence and other external and internal communications. Updating the corporate Web Pages to reflect accurate data and relevant updates for stakeholders.
·Management of student records for registration at graduation ceremonies for both Home and Transnational Education Programmes using the specialist Graduation database.
·Manage and take a lead role within the auditorium for each graduation ceremony in relation to logistics of seating arrangements and problem solving. Direct liaison with Academic staff and Deans of Schools.Manage, supervise and support the roles of Marshals within the Auditorium.
What you’ll bring – essential experience & strengths
·Understanding of administrative processes and procedures in HE or similar environment.
·Understanding of the application of information technology in an office environment which supports customer requirements.
·Excellent written and oral communication skills.
·Ability to undertake statistical analysis of data and provide timely and accurate reports.
·Ability to use effectively a range of PC software including Microsoft Windows applications e.g. Excel spreadsheets.
·Ability to show individual initiative and to work as part of a team.
·Ability to collate relevant data/information for the service and to customers.
·Ability to employ good interpersonal skills, including empathy and sensitivity in discourse with students and academic staff.
·Experience of working in an Academic Registry within a higher education or similar environment.
·Experience in operating manual and computerised database systems.
·Experience of maintaining, reviewing and updating administrative systems and processes.
What you’ll have – essential qualifications
Minimum of two “A” Levels (or equivalent) or have relevant experience.
